Do you offer different service levels?

A

Yes, InTouch offers different levels of service to suit the specific requirements and budgets of individual organisations.

 

Q

Will this whistleblowing programme replace existing internal channels and affect our grievance procedures?

A No. InTouch’s whistleblowing programme has been designed to complement and enhance your existing internal procedures. It provides an additional and independent solution for employees who do not, for whatever reason, want to report a concern through internal channels. The InTouch programme encourages employees and other audiences that an organisation may give access to the service to come forward with their concerns by providing them with a bespoke range of confidential and anonymous reporting channels.

Do you get involved in any investigation?

A No. InTouch act as a conduit by providing effective and confidential two-way communication between the whistleblower and your organisation.

Do you advise callers on what action to take?

A InTouch does not provide any advice regarding the concerns of whistleblowers. We would not necessarily understand the complexities within each organisation and would not wish to unwittingly misinform the caller. We can advise the whistleblower on how to protect their identity, what details they should report and how to check back for a response.

How do you ensure anonymity and confidentiality?

A

Unless the person making the report specifies that they are happy for InTouch to pass on their details to their employer, the employer will not receive any contact details. Where a report is made by telephone the caller’s number is not captured and recordings are never heard by the employer. Where a report is made using the web service, the whistleblower’s IP or email address is also not captured. Anonymous reporters are provided with a unique Case Number, which is required for further contact. Messages can only be accessed by the authorised recipients within the organisation.

 How do we receive employee messages?

A

Reports are accessed via the InTouch Case Reporting System (CRS), a secure web portal by nominated authorised recipients only.  Email alerts are sent to authorised recipients when there is a new case to review, with a link to the CRS. Each authorised recipient can log in by using their personal log in details, different permissions can be set up for individual authorised recipients which limits the level of information they can view.

What happens to data after a case has been closed?

A

All data capture is carried out within the EU. We follow the Article 29 DP Act EU Working Party Recommendations and only keep data for 2 months, or less if specified by the client. After this time we only retain anonymised, ‘skeleton’ information for statistical purposes.

How would reporters pick up a response to their message?

A

Once a disclosure has been made, the whistleblower is provided with a unique Case Number which becomes their identity and is used to access a response or to leave further feedback. Whistleblowers are asked to make further contact after a period of time as agreed with the individual client and will need to quote their Case Number to pick up a response and leave further information.

Do you provide services outside of the UK?

A Yes. We currently provide our services to over 100 countries in different languages as required. Report intake is tailored for each organisation / language / country / jurisdiction combination.

How do you deal with callers speaking different languages?

A

InTouch deploys multilingual reporting channels and offers whistleblowers a choice of languages, whether accessing via telephone or website. As well as using the traditional method of introducing interpreters into a call, InTouch has developed a unique solution for the telephone whereby callers can leave a secure voice message in their own language enabling them to explain their concerns clearly and directly.  InTouch translators complete the transcription of reports in the different languages.

Is the reporting line only available for employees?

 A The SpeakUp whistleblowing hotlines can be made available to employees, suppliers and other stakeholders as advised by the client.
